Tasks

• Welcome and direct visitors, candidates and new hires; manage sign-in, badging, luggage, lost and found, and deliveries
• Handle front-of-house calls, emails and queries
• Set up and maintain reception, meeting and event spaces
• Monitor meeting room furniture, signage, AV equipment, temperature and supplies
• Manage room bookings and keep displays and calendars up to date
• Coordinate with security and janitorial teams; support facilities with tickets, mail, inspections and administrative tasks

Requirements

• Experience in reception, concierge or another customer-facing role
• Previous experience in a high-profile corporate environment
• German mother tongue; excellent spoken and written English; elementary French
• Strong PC literacy and proficiency in MS Office (PowerPoint) and Copilot
• Strong interpersonal, communication and customer service skills
• High attention to detail and ability to remain composed and professional
• Adaptability and comfort working cross-functionally

Nice to have

• Background in catering, hospitality or workplace services
• Corporate meeting and event coordination experience
• Familiarity with SharePoint, Outlook calendar management and conference room booking platforms
• Knowledge of security and emergency procedures; space audits or workplace optimisation; local visitor services; business/commerce background
